Using Microsoft SharePoint for Accident/Incident Management

We blogged in July about the use of Microsoft SharePoint to address EHS management needs. Many companies today already use Microsoft programs for various business needs. Microsoft Office applications may be used to manage data associated with EHS programs. Instead of managing Office documents in a manual way, a company can use Microsoft SharePoint to collect, assemble, aggregate, track and manage information in those documents as part of central EHS management applications developed using SharePoint.

In today’s post, we explore this theme further by explaining how Microsoft SharePoint can be leveraged for accident / incident management and reporting.

As part of EHS and Sustainability programs, it is important to track accidents and incidents. Proper incident management leads to the mitigation of operational risk and the establishment of a strong safety culture throughout the organization.

Using Microsoft SharePoint, electronic versions of forms can be created and seamlessly updated as required. When the forms are used, they can expand dynamically based on the type of responses entered. Hence a user would see only required questions, thus providing guidance that contributes to the proper completion of the form. In addition, the forms can dynamically show/hide different sections based on the role that a user plays in the organization.

But creating and using “smart forms” for accidents and incidents is just the beginning. Each form can have an associated workflow that automates the process that the form goes through. For example, based on the form type and the responses entered, the form can be sent automatically to the appropriate reviewer or approver who may request additional information or analysis. Finally, statistics can be generated automatically to identify trends from one year to another or on a per-site basis.
